What is the 'scheduled email' feature?
For the ‘Media Monitoring’ users it is important to be able sending ‘scheduled emails” with a analysis report to stakeholders within the company. With this feature the users can schedule such an email.
My role & responsibilities
As the Senior UX Designer on this project, I led the research and product development processes. I collaborated closely with the Product Manager, a junior UX designer, and the development team to ensure a cohesive and user-centric approach.

Problem Statement
- Analist’s need to send reports to stakeholders on a regular basis.
- A scheduled module for these emails saves time and helps the users.
- For planning an email the users wanted to most freedom to do so.
The Goal
The old version the feature was limited and outdated. What the user needed was all the freedom to schedule an email to their stakeholders.
RESEARCH
This function existed in the old Brand Monitor module but very limited. From the interviews we learnt that the users were frustrated about its limitations and so we designed it to comply to all their needs to do the job properly.
CHALLENGES
- This feature didn’t have much priority from the Stakeholder. We knew from the interviews this was a very import feature. I challenged it to get it higher on the priority.
- Development time was longer due the extra features.
DESIGN
- From the interviews and sketches I could get all the desired functionalities mapped out quickly. Because of this I could start high fidelity designs very quickly.

A ‘low hanging fruit’ project is still a project. A small feature is still important for the user and this is why it still needs all the attention from the stakeholders.

Although you can call these kind of projects ‘low hanging fruit’ projects. It doesn’t matter how small the feature is, it is still important for the user.
The human centred design process starts with a good understanding of people and the needs that the design is intended to meet. We were using the Double Diamond process, originally released by the British Design Council. I like this framework for its structure, clarity and dynamics. The two diamonds represent a process of exploring an issue more widely or deeply (convergent thinking) and then taking focused action (convergent thinking).
Empathizing with users
User Interviews
This is one feature of many for this large scale project for the new Media Monitoring Product. We organized a group of users to do interviews with and did this for the whole product but also divided this in sections for the many features involved. We got some feedback from users and customers from the account managers this helped to dive in further to identify challenges users encountered, and noted the obstacles they faced. Subsequently we collected valuable feedback that enabled us to categorize and prioritize the identified user problems.

I want to be in control. I don’t want you to be in control of something I want. I want all the freedom to schedule an email.
